Your information and data protection:
Before we can provide you with advice, we need you to collect and use some personal information about you and your enquiry. This information enables us to register you with the NTSU Advice Service, understand your circumstances and provide you with appropriate advice, support and ongoing casework.
How we use your information:
The information you provide will be used to create and maintain a confidential case record on our secure case management system, AdvicePro. Your case record may include your personal details, information about your enquiry, correspondence and documents relating to your case, notes made by your adviser and details of the advice and support we have provided.
Access to identifiable case information is restricted to authorised individuals who need it for the delivery, management or quality assurance of the Advice Service. Your case may therefore be reviewed for quality assurance purposes, including confidential file reviews undertaken by an appropriately authorised external auditor working on behalf of NTSU.
We may also use information about use of the Advice Service to understand demand, monitor and evaluate the service, identify trends and improve the support we provide to students. Where possible, information used for reporting, monitoring and service improvement will be anonymised or aggregated.
NTSU and Nottingham Trent University
NTSU and Nottingham Trent University (NTU) have a data sharing agreement which allows relevant student information to be shared for agreed purposes, including enabling students to access NTSU services and supporting student wellbeing.
Using the Advice Service does not mean that the details of your advice case will be shared with NTU. Information about your case will only be shared where there is an appropriate lawful basis to do so and in accordance with our confidentiality and data protection requirements.
How long we keep your information
We keep your information securely and only for as long as necessary. Advice Service case records are retained for six years, after which they will be securely deleted in accordance with our data retention requirements.
Your data protection rights
You have rights in relation to your personal information, including rights to access information held about you, rights to request that inaccurate information about you be corrected and, in certain circumstances, rights to request that information is erased or its processing be restricted.
You can find further information about how NTSU collects, uses, stores and shares personal information and about your data protection rights in the NTSU Privacy Statement. You can contact NTSU about your data protection rights at dataprotection@su.ntu.ac.uk. You can also request copies of the Advice Service’s Confidentiality and File Storage policies from the Advice Service.
